Guidelines/Procedures for reservations of Gilchrist Hall conference rooms:

1. Currently, reservations are limited to occupants of Gilchrist and are being made through 6/30/2024.  The reservation cycle is on an annual basis, beginning July 1 each year and concluding June 30 of the next year.

  • Offices in Gilchrist will have a limited time for priority scheduling of meetings annually.
  • In cases of conflicting requests for space, the request that maximizes the use of space will be given preference.

2. During standard building hours on weekdays, doors to conference rooms should be unlocked for scheduled meetings.

  • For those who have reserved room 025, entry to that room should be made from the hallway door and not through the Human Resources office, room 027.
  • For those who have reserved room 119, entry will be made through the Office of Compliance and Equity Management, room 117. The door from 117 to the hall will be used as an exit door only.

3. For reservations on weekends or outside of standard building hours, the office/department making the reservation is responsible for unlocking and locking the room door.

4. The conference rooms are self-service in terms of set-up and arrangement.

  • If a user re-arranges furniture for a meeting, it needs to be put back in the standard configuration at the end of the meeting per the set-up chart posted in the room.
  • Do not remove chairs and tables from Gilchrist conference rooms.

5. Gilchrist Room Information can be found below.

6. There is no central or building technology staff available for users of the conference rooms.

  • Those using the rooms need to seek technology guidance from their own office/department tech staff.
  • Hardwired ethernet internet access is available in the conference rooms. If a blue outlet is not covered, it is supposed to be active.
  • For wireless access in a conference room, a non-UNI user will need to have a guest user account set up. Making that arrangement in advance through ITS (Information Technology Services) is the responsibility of the office making the reservation.

7. Report problems or suggestions regarding the rooms, or missing/damaged furnishings, by sending an e-mail to Gilchrist-Reservations@uni.edu
